Job Description
Turning Point Bodymind Wellness is a multidisciplinary health clinic that provides holistic treatment for improving people’s physical and mental health. As a receptionist at Turning Point Bodymind Wellness, you help create an environment and culture that enables us to fulfill our mission to provide exceptional client/patient care. We’re currently seeking an enthusiastic professional to fulfill this part-time role. The successful candidate is a self-organized, detail-oriented, caring, and personable individual who possesses a positive attitude and prior experience as a receptionist ideally in a health care related wellness office setting.
You speak both English and Chinese/Mandarin, and will bring resourcefulness, organization, and excellent communication skills to the desk.


Duties and Responsibilities
• Opens the office, greets patients/clients in a friendly and professional
manner, answers and directs phone calls, sends and responds to emails,
manages printing and copying;
• Screens clients before appointments, maintains cleanliness of the clinic,
cleans and disinfects treatment rooms and common areas;
• Manages appointment scheduling, billing, workflows, communications, and day-to-day office operations;
• Types up memos, letters, reports, and other content as needed;
• Oversees standard office equipment and supplies, such as fax machine,
water dispenser, reports any malfunctions to the owner;
• Ensures the smooth operation of the workflow such as re-stocking medical
supplies, watering plants, maintaining water fountain, etc.
• Coordinates external resources and vendors, and establish and maintain
positive working relationships with other referring health and wellness
practitioners;
• Maintains a record-keeping system or directory for company contacts, files, and employee records;
• Maintains strict confidentiality of patient information and medical records;
• Assists in marketing projects: updating website, posting on social media,
mailing out brochures, phoning organizations for building referral systems
etc.

Required Skills and Qualifications
· Minimum 1 year receptionist experience
· Excellent customer care skills
· Ability to communicate in both English and Mandarin Chinese
· Excellent written and verbal communication skill in English
· Ability to multitask and manage time wisely
· Proficiency with computer, and excellent working knowledge of Microsoft Office
· High school diploma or equivalent

Preferred Qualifications
· Previous experience as receptionist/administrator in a clinical/medical setting;
· Written Chinese is an asset but not required
· Familiarity with medical office management software such as Jane app.
· Familiarity with social media
· Basic graphic design skills

Part-time hours: 16 hours per week with potential to full time
Salary: $20-25/hour depending on experience
COVID considerations:
• The successful candidate will be required to provide verification of full vaccination against COVID-19 prior to the start date.
• All customers and staff are required to wear a mask. Treatment rooms and common surfaces are sanitized regularly.
